Secret Santa Rules for the Office: How to Run It Fairly (2026)

An office Secret Santa is one of the easiest ways to bring a bit of festive fun to work. Everyone buys one small gift for one colleague, nobody knows who bought for whom, and the unwrapping becomes a shared moment for the whole team. It only works, though, if the rules are clear and everyone feels comfortable. Here is how to run one fairly.

How to organise an office Secret Santa, step by step

  1. Ask who wants to take part. Make it opt-in. Some people don't celebrate Christmas, are on a tight budget or simply prefer not to join, and that's fine.
  2. Agree the budget. Pick one amount and stick to it (see below).
  3. Set the date and place for the gift exchange, such as the team lunch, the last Friday before the break or a video call.
  4. Draw names. Use our free Secret Santa generator: add everyone's name, rule out pairs who shouldn't be matched, and it gives each person a private link that shows only who they are buying for.
  5. Share a few likes (optional). A shared document where people list two or three things they enjoy (tea, plants, puzzles, a favourite chocolate) saves a lot of guesswork.
  6. Send a reminder a week before the exchange with the budget, date and wrapping instructions.

The ground rules to share with everyone

  • Stick to the budget. Going well over makes others feel awkward; going well under can feel thoughtless.
  • Keep it secret. Don't tell anyone who you have, and don't ask others who they have.
  • Keep gifts work-appropriate. If you wouldn't be comfortable opening it in front of your manager, don't give it.
  • No joke gifts that target the person. Nothing about someone's appearance, age, habits or personal life.
  • Label your gift with the recipient's name (not yours) and wrap it.
  • Be gracious. Thank your Secret Santa, even if the gift isn't quite your thing.

How much should the budget be?

For most workplaces, somewhere between £5 and £20 works well. A lower budget keeps it inclusive for people on different salaries and encourages thoughtful rather than expensive gifts. Whatever you choose, state it clearly in pounds (or your currency) so there's no confusion, and include it in the invitation. Our generator can show the budget on each person's private link.

Running Secret Santa for a remote or hybrid team

  • Delivery addresses: ask people to share an address privately with the organiser, who passes it on only to the right Secret Santa. The generator's "Show all pairs" option helps the organiser do this.
  • Online orders: suggest sending gifts directly from an online shop, with the sender's name left off.
  • Digital gifts: e-vouchers, an online class or a digital subscription work well when posting isn't practical.
  • Unwrap together on a call: open gifts on camera one at a time and let everyone guess who the Secret Santa was. It's a lovely end-of-year moment, and you can follow it with a Christmas quiz.

Secret Santa gift ideas by budget

Around £5

  • A good-quality chocolate bar or a small bag of sweets
  • A festive mug or a pack of interesting teas
  • A pocket notebook or a nice pen
  • A puzzle book

Around £10

  • A small desk plant or succulent
  • A bag of locally roasted coffee
  • A pocket card game
  • Cosy socks

Around £15 to £20

  • A desk organiser or a phone stand
  • A reusable coffee cup or water bottle
  • A jigsaw or a small board game
  • A voucher for a local café

Common Secret Santa problems (and fixes)

  • Someone drops out after the draw: run a new draw and send new links. With an online generator this takes seconds.
  • Someone forgets their gift: the organiser can keep one or two small spare gifts within the budget, just in case.
  • Two people drew each other: that's allowed and perfectly fair, but if you'd rather avoid it, add those two as an exclusion before drawing.
  • Couples or close friends in the same team: add them as exclusions so the gifts feel like a surprise.
